Youth Coordinator – Position Description
About the Role
The Youth Coordinator plays a key role in nurturing, supporting, and engaging children, teenagers, and their families within our Embracing Ministries community. This role combines event leadership, volunteer coordination, and creative program development. We are seeking someone who is both deeply grounded in their Christian faith and practically skilled in organising meaningful, safe, and inclusive activities for young people who have a sibling with a disability. These siblings often have a disability of their own.
This is a part‑time (15 hours per week) flexible role with negotiable workdays; however, 1 Saturday each month is required for the running of Siblings Events. This role is suited to someone who is self‑directed, relational, and energised by working with young people and their families. Our office is located at St Mark’s Theological Centre, Barton. This role involves being present for in‑person meetings and working closely with the team in the office, with the added flexibility to complete some tasks from home.
Key Responsibilities
1. Program & Event Coordination
- Plan, organise, and deliver Siblings activities once a month. These occur on a Saturday. This includes a Siblings Day Camp twice a year.
- Manage logistics including bookings, materials, safety planning, sourcing and coordination of volunteers, as well as risk consideration and mitigation.
- Attend and lead events on‑site, ensuring smooth operations, safety oversight, and volunteer support.
- Participate in additional events such as home visits, promotional activities and school partnerships. This includes Ministry-wide events, such as Family Gatherings and Christmas Appeal. These will include the occasional extra weekend commitments.
- Required time commitments:
- Minimum 1x in person Saturday is required each month for the purpose of delivering the Siblings programs monthly activity. This day may also include a separate Siblings event for the older siblings’ group, “Girls Club”. Held in the mornings, with the regular “Siblings Activity” being held in the afternoon. Depending on the successful applicant, Girls Club may be organised by the programs coordinated but facilitated by a female volunteer group due to “Girls Club” being a female-only space.
- 1x full business week is required twice a year, once during the Easter school holidays (March/April) and once in the Spring school holidays (September/October). Where the applicant is required to actively participate and aid in the facilitation of the Little Treasures program (our all-abilities holiday program), with particular oversight of the Siblings room. In the lead-up to the program, the applicant will be required to assist with planning, coordination, and delivery of Little Treasures activities.
2. Volunteer Leadership
- Recruit, train, and support volunteers for youth and children’s programs.
- Communicate clearly with volunteers regarding schedules, expectations, and event details.
3. Administration & Communication
- Manage event planning, scheduling, and communication with families, whilst also working to a budget. (Outlook and Planning Center)
- Create promotional materials such as digital invitations. (Canva skills helpful; however, upskilling can be provided)
- Respond to enquiries from parents, volunteers, and community members promptly.
- Maintain accurate records, including attendance, permissions, and financial reconciliation (e.g., uploading receipts and categorising purchases).
- Ensure compliance with safe ministry requirements and organisational procedures for yourself, volunteers and carers/parents when applicable.
4. Supportive attitude
- Listen compassionately and provide appropriate support while maintaining boundaries.
- Refer families, individuals, or volunteers to the Pastoral Carer or the Director when deeper care is needed.
- Model Christian faith and values in interactions, conversations, and leadership.

Faith & Character
- An active Christian faith and willingness to share your beliefs appropriately and authentically.
- A heart for young people and a desire to see them grow spiritually, socially, and emotionally.
- Compassion, patience, and emotional maturity.
Experience & Skills
- Experience working or volunteering with children and teenagers, preferably including those with additional needs (church, school, community, or similar).
- Understanding of Disability and its impact on families is highly desired
- Strong organisational and event‑coordination skills.
- Ability to lead, support, and manage volunteers.
- Confident communicator with parents, young people, and community partners.
- Problem‑solving skills and the ability to adapt quickly during events.
- Moderate administrative and digital skills (emails, posters, spreadsheets, communication tools).
- First aid training (or willingness to undergo required training).
Work Style
- Able to work independently and manage your own schedule.
- Work closely alongside the Director, in a diverse team,
- Flexible availability, including some weekends.
- Comfortable working in dynamic environments with shifting needs.
Desirable (but not essential)
- Experience in pastoral care or youth ministry.
- Creative skills (craft, music, games, digital media, etc.).
- Experience with child safety frameworks or risk management.

- Reports to: Kelly Wood – Director
- Support provided: Subsidised regular supervision, training opportunities and upskilling, pastoral support and EAP.
Salary to be determined based on experience.
